A dealership’s phone rings from more places than almost any other business. Listing sites, the website, Google Ads, a service reminder postcard, the radio spot, the sign out front. Then the call lands on one number and gets passed from the receptionist to Sales to Service, and by the end nobody can say which ad paid for it or whether anyone booked the appointment.

Call tracking for car dealerships is about two things: knowing which source produced each call, and making sure the call reaches someone who can sell a car or book a service. Here is how to set both up.

Give Every Lead Source Its Own Number

The listing sites are the obvious place to start. Put a different tracking number on your Autotrader inventory than on Cars.com or CarGurus, and every call to that number is a call that site produced. The same goes for the postcard, the radio spot, and the billboard on the highway. These are offline trackers: you publish the number, and there is nothing to install.

The website is different, because one number cannot tell you whether the caller came from Google Ads, organic search, or a link in an email. Dynamic number insertion swaps the number on the page per visitor, so a call from your site carries the source channel, the landing page, and for Google Ads the click ID, which lets the call go back to Google as a conversion. The Google Ads integration covers that last part.

Once each source has its own number, the reports answer the question every car dealership general manager asks: which of these is producing calls, and which is just producing an invoice.

Route Sales, Service and Parts on One Number

Advertise one number and you need something to split the callers. A receptionist works until lunch. An IVR menu works all day: press 1 for Sales, 2 for Service, 3 for Parts, with each option running its own handling behind it.

Service can ring the service desk and fall through to a voicemail with a transcript, so a customer describing a noise at 7am leaves a message the advisor can read. Parts can ring the parts counter and never go to voicemail. Sales gets the treatment below.

The spoken menu is built from the option labels, so the words and the keys can never disagree, and every call still reports against the tracking number it arrived on. The menu changes where the call goes, not what you know about it.

Ring the Whole Sales Floor at Once

A sales call that rings one desk phone while the salesperson is on the lot is a missed call. Simultaneous ring rings up to 10 phones at the same time and connects whoever answers first, so the Sales option rings the desk, the floor phone and three salespeople’s mobiles together. The first one free takes the customer, and the rest stop ringing.

Set the ring time to 20 or 30 seconds, then put a voicemail after it. If the whole floor is busy the caller leaves a message rather than hanging up on ringing, and the notification for that voicemail lands with the transcript inside it.

Record the Calls Your BDC Should Hear

Most dealerships know their phone skills decide whether an internet lead turns into an appointment, and most have no way to hear those calls. Find the Calls You Are Missing

Once the numbers are in place, the missed call report is usually the first surprise.
